  • Have ability to supervise your suppliers orders step by step until the orders are delivered.
  • Effective stock management has an undeniable impact on the success of your business. An out-of-stock product cannot be sold, and surplus stock can lead to significant profit loss. Procurement Management optimizes stock levels with the advanced stock alerts function and automatic sending suppliers orders (eg. when your stock has reached a critical minimum, or when a customer order has been made for an out-of-stock products). Thus you will save time and you will no more reason to be short of stock!

I - MANAGE SUPPLIERS ORDERS:
  • Export orders list to CSV format; Change status / delete orders.
  • Download supplier PDF Order Form.
  • Send PDF Order Form by email to supplier's contacts. (If with customer' delivery address, so the supplier can send the order directly to the customer).
  • Update real stock & wholesale prices of your shop products when supplier order has been delivered.
  • Create/Edit supplier order. 5 ways are available to add products on fly in cart :
  • Tab 1: Load last orders already made for the selected supplier to have the ability to reuse and load order's products in cart.
  • Tab 2: Load out of stock products to have the ability to add them in cart.
  • Tab 3: Load customers's backorders to have the ability to add products which need replenishment in cart.
  • Tab 4: From a csv file import.
  • Tab 5: Auto-complete search for products/combinations.
    • Specify a discount and tax rate for each product/combination.
    • Change order language & currency.
    • Display a summary area of the order to have an idea of total to spend (total products, total discounts, total taxes, total shipping, total incl.tax).
    • Define for each order a reference number, delivery order number (assigned by the supplier), expected delivery date, shipping cost, warehouse, etc.
    • Manage partial deliveries: Generate new order for an incomplete delivery (missing products).
    • Manage Payments: Each complete or partial payment transaction is saved for supervising.
    • You can write a message and have it be sent to the supplier, in order to give him information concerning the order, a delay, etc.
    • Print order; Write and save some notes about order.

    II - MANAGE CUSTOMERS BACKORDERS:
    • This section provides you a general overview of customers's backorders (that need replenishment). But you can search for customers's orders with other statuses. Filters are available to refine search.
    • You can create in bulk suppliers orders to help you saving time.
    • You can see/manage directly related backorders for each product/combination in cart when editing supplier order.

    III - MANAGE STOCK, MINIMUM STOCK, ALERTS:
    • This section allows you to manage and optimize quickly your stock for each product/combination.
    • Set the minimum stock quantity for each combination/product, quantity from which the suppliers orders should be launched.
    • When your stock reach the critical minimum or out-of-stock, red alert will notify you to know which products need replenishment.
    • Create and send manually PDF suppliers orders forms (can be handled automatically via cron task).

    IV - MANAGE ORDER FORM TEMPLATES:
    • Create/Customize/Preview/Duplicate order form templates according to your needs.
    • Order form (pdf model) is fully editable by using a rich text editor and many replacement tags.
    • Determine which column to display in products table list (image, quantity, price, etc.).

    V - OTHER BACKOFFICE FEATURES:
    • Enable option to allow updating customers orders status from "On Backorder" to "Processing in progress" when updating real stock.
    • Create multiple contacts per supplier that you can select when sending the PDF Order Form.
    • Manage supplier orders statuses.
    • Set and display "Delivery days" info for each supplier (to evaluate the risk).
    • Possibility to request from the supplier to send back a read-receipt when he receives the PDF order form for better tracking.
    • Set emails addresses of employees who should receive a copy of PDF Order Form sent to suppliers for internal tracking.
    • Options to customize the supplier order reference format.
    • Know who created the order (Super admin see all while the others view only their orders).
    • Display related suppliers orders on customer's order details page / product page for tracking (backoffice).
    • Customer Order details (Backoffice): Add "expected delivery date" column after product name column in products table for tracking.
    • Statistics by supplier (number of placed orders, number or ordered products; total spent).
    • Multi-Shops.

    VI - FRONOFFICE FEATURES:
    • Track your orders by giving your suppliers the ability to define through your shop (via a dedicated form) the final delivery date.
    • Remind and incite your suppliers during a predefined period to validate their final orders deliveries dates (via cron task).
    • Let your customers/visitors know when they should receive their orders/products by displaying the expected delivery date notification on:
    - order detail page.
    - cart.
    - products listing pages.
    - product page (in differents hooks).
    • Option to display the closest/furthest delivery date of order if a product should be provided by differents suppliers.
